The Clubhouse Group (“The Clubhouse”) uses Microsoft Teams to host virtual meetings, trainings, consultations, and events.
By joining a Microsoft Teams meeting hosted by The Clubhouse, you acknowledge and agree to the following:
Information Collected
During a Teams meeting, limited information may be collected, including:
- Your name and display name
- Audio, video, and chat participation
- Shared content and meeting metadata (date, time, duration)
We do not collect sensitive personal, financial, or medical information through Microsoft Teams meetings.
Recording & Transcription
Some meetings may be recorded or transcribed for legitimate business, training, educational, or safety purposes.
- Participants are notified if recording or transcription is enabled.
- Recordings may capture audio, video, screen sharing, and chat.
- If you do not wish to be recorded, you may mute your microphone, disable video, or decline participation when permitted.
Recordings are stored securely in Microsoft 365 (OneDrive or SharePoint) and access is limited to authorized personnel.
Use of Information
Meeting content is used only to:
- Conduct and manage meetings
- Support training, instruction, and quality assurance
- Maintain internal records and compliance
Meeting content is not sold or used for marketing without explicit consent.
External Participants
Meetings may include external participants (such as parents, athletes, or partners). All participants are expected to respect the privacy and confidentiality of others. Unauthorized recording, screenshots, or distribution are prohibited.
Youth Participants
For meetings involving minors, The Clubhouse follows its internal safety and conduct policies. Parent or guardian consent may be required depending on the program.
Third‑Party Platform
Microsoft Teams is a third‑party platform. Use of Teams is subject to Microsoft’s privacy and security practices. The Clubhouse is not responsible for actions taken by Microsoft outside our control.
